Vendor Payment
Congratulations on becoming a participant at the Hartselle Jubilee Vendor Show!
Terms and Conditions for Vendor Applicants
1. Event Information and Timeline
The Jubilee Vendor Show is hosted by the Historic Downtown Hartselle Merchant Association. The event will take place entirely indoors at the Hartselle Civic Center on Saturday, July 4th, 2026.
- Timeline Updates: A detailed event timeline, including specific load-in schedules, designated unloading doors, parking instructions, and booth assignments, will be sent via email to all approved vendors prior to the show date. It is the vendor’s responsibility to check their email regularly for these official updates.
2. Application, Fees, and Space Assignment
- Booth Space: Each standard indoor booth space measures 10 feet by 10 feet. Spaces are assigned at the sole discretion of the event organizers to ensure a balanced variety of products throughout the facility.
- Equipment and Displays: Vendors must provide their own tables, chairs, tablecloths, and display fixtures. All display materials, signage, and merchandise must fit completely within the designated 10×10 footprint and cannot block aisles or emergency exits.
- Payment: Full payment of the vendor fee must accompany the application. Booth spaces will not be reserved or guaranteed until payment is received and processed.
- Refund Policy: All vendor fees are non-refundable after acceptance into the show, as funds are immediately allocated toward event promotion and facility rental.
3. Indoor Facility Rules and Vendor Conduct
- Property Protection: Vendors may not use nails, screws, staples, or heavy-duty tape on the Civic Center walls, floors, or facility property. Any damage caused to the venue by a vendor’s display will be the financial responsibility of that vendor.
- Approved Items: Vendors may only sell or display items that were explicitly approved on their application.
- Booth Operation: Booths must be staffed by an adult over the age of 18 at all times during official event hours.
- Cleanliness: Vendors are responsible for keeping their assigned area clean and orderly throughout the day. At the conclusion of the event, vendors must remove all trash, boxes, and debris from their space and utilize the facility’s designated disposal areas.
- Compliance: Vendors are solely responsible for collecting and reporting any applicable local, state, and federal sales taxes.
4. Liability and Indemnification
- Assumption of Risk: The Historic Downtown Hartselle Merchant Association, the Hartselle Civic Center, and their respective officers, volunteers, and agents will not be held responsible for any loss, theft, or damage to vendor property, inventory, or equipment.
- Indemnification: By submitting this application, the vendor agrees to indemnify, defend, and hold harmless the Historic Downtown Hartselle Merchant Association and the City of Hartselle from any and all claims, damages, liabilities, or injuries arising out of the vendor’s participation in the event.
5. Weather and Cancellation
Because the event is held inside the climate-controlled Hartselle Civic Center, the show will proceed rain or shine. In the rare event of extreme, catastrophic weather conditions that force the facility itself to close, the organizers will make every reasonable effort to reschedule, but cannot guarantee registration refunds.
By submitting payment, you acknowledge that you have read, understood, and agreed to abide by all the Terms, Conditions and Privacy Policy as outlined above.
